Working with Orbit

What does outsourced facility management include?

Site oversight and walkthroughs, preventive maintenance, repairs and 24/7 emergency response, vendor management, compliance checks and inspection support, lease dates and landlord communication, and budget tracking with monthly reporting.

Do you use your own staff or subcontractors?

Both. Our own technicians handle general maintenance and repairs. Licensed partners handle regulated trades such as HVAC, gas, refrigeration, electrical, fire protection and pest control. Orbit manages them and stays accountable for the result.

Who will we deal with day to day?

A named account manager for leadership, and site facility coordinators who work with your directors and site managers. Emergencies go to our 24/7 dispatch line.

Can we keep our current vendors?

Where they perform, yes. We review every contract during transition and re-tender only where service or pricing falls short.

Service levels and reporting

What are your response times?

Our standard targets are on site within 4 hours for emergencies, 24/7, next business day for urgent work, and booking within 5 business days for scheduled work. Final targets are written into your service agreement.

What reporting do we get?

A monthly report by site covering work orders, response times, compliance checks completed, spend against budget and upcoming needs, plus a quarterly review with your leadership.

Do we own the records?

Yes. Asset lists, service history, certificates and logs are your records, organized by site, and are handed over if the relationship ends.

Pricing and contracts

How is facility management priced?

Usually a monthly management fee based on the number and type of sites, with repair and project work quoted or billed at agreed rates. We price after walking your portfolio, so the scope is accurate.

How long is the agreement?

Terms are set with each client. We aim for agreements that are easy to review and renew, with clear performance measures.

Regulated and sensitive sites

Can you work in retirement homes, long-term care and clinics?

Yes. Crews follow each facility’s infection-control procedures, including dust containment, work-area isolation and sign-off before areas reopen, and work around residents and patients.

Do your workers have vulnerable sector checks?

Yes. Everyone we send to child care centres, schools, care homes and other sites that require it, including trade partners, holds a current police vulnerable sector check.

Do you handle lead flushing and sampling?

Yes. For child care centres we run the O. Reg. 243/07 flushing schedule, keep the log, and book annual sampling with an accredited lab.

How do you work around food production?

Planned work is scheduled into sanitation windows or off-shifts. Tools and parts are controlled, and areas are cleaned and signed off before food contact resumes.
